FSMinviteOut (FSM → Outlook)

Formerly known as SAP FSM for Outlook (SFFO), this application synchronises Service Assignments and Reservations from SAP Field Service Management Planning Board to Outlook Calendar so that also colleagues without access to SAP FSM have an overview on the availability of Service Teams.

FSMinviteIn (Outlook → FSM)

This application transfers Outlook appointments to SAP Field Service Management Planning Board as Reservations, so that Planners have a complete view of Service Teams' availability.

How to Install and Configure

Installation

  1. In the main menu of SAP FSM (or via the Shell main screen), select ‘Foundational Services’.

  2. SAP FSM Extension directory opens up. Find FSMinvite on the store.

  3. Click on the 3-dot menu, select instal and follow the prompt to finish installation.

  4. You have finished the installation step.

Before you start

  1. Go to your account admin space.

  2. Click here to download this Admin Policy Group (also known as User Group) and import it to your account.

  3. Create an OAuth Client and assign the new Admin Policy Group above to the client in the company of your choice. 

  4. Keep the client id and secret to be used later.

Configuration of your FSMinvite space

  1. Go to SAP FSM main screen on shell (you could do this by clicking on the SAP logo on the top left corner of the screen).

  2. Find a new additional card now available in your SAP FSM for Outlook integration.

  3. Click on the card and fill in the following information on the FSMinvite Configuration page.

  4. important Email addresses of employees in Outlook and in FSM Master Data record must be the same.

  5. After creating a tenant, you will receive a message and your tenant is successfully created.

Choose your appointment types

  1. Go back to FSM shell again. (repeat step 2 of configuration - see above)

  2. Click on the FSMinvite card.

  3. Now, you will see your tenant information, expiry date and the whitelisted email addresses.

  4. Select appointments types of your choise (Absences, Reservations and Activities) to be synchronised to Outlook.

  5. Click Accept Changes.

  6. You are all set.

Tips

Tips

  1. FSMinvite is free to install and use for a test period.

  2. After the trial period; an active SFFO licence is required. For this, please contact us at info@opusm.ch.

  3. Invitations from FSM to Outlook are sent from this email address sffo-noreply@opusm.ch. Please ensure this email address is not blocked by your firewall or spam management policy.

  4. FSMinvite works in the FSM tenants in DE, EU, US and AU clusters.

  5. Although SFFO uses AWS SES and it’s standard verification process, some invitations might end up in the spam folder. To further reduce the chance of invitations ending up in the spam folder we can authenticate your domain - upon your request - with DKIM (see here).

  6. If you require additional email clients to be used (e.g., Lotus, Gmail etc), please contact us at info@opusm.ch.

  7. If you use heavy Business Rules in your FSM tenant which change Activities or PersonResevvations and have a relatively long execution time, FSMinvite may be impacted in rare scenarios. Please contact us if you observe this happening.

Your installation was not successful: Common causes

  1. important You did not use the Policy Group offered on this page.

  2. important The Policy Group for the FSM Client is not assigned in the right company.

  3. important The email address of employees on FSM Master Data record is different to their Outlook email address.

  4. important Invitation email from FSM is blocked in your SPAM.

  • FSMinviteIn currently works with Exchange Online only (date August 2024)

  • FSMinviteIn sends selected Outlook events to SAP FSM.

  • The appointments sent to FSM, would create FSM Reservations for the person.

  • A specific Reservation Type and Colour (of your choice) is used for the Reservations created from Outlook.

  • After creation, any update in date and time, subject or cancelation of the appointment in Outlook is reflected to FSM.

  • The person’s Microsoft Email address is used to find the equivalent person in FSM (based on their Master Data email address).

  • The selection, of appointments to be send, is based on the standard status field on the Outlook appointment:

    • Appointments with statuses Busy , tentative and out of office are sent to FSM.

    • Appointments with statuses free and working elsewhere are not sent to FSM.

  • Appointments made as private, if sent to FSM, would have their subject as privat/private.

  • FSM Reservations are for information purposes only. It means any change necessary must be done in Outlook.

  • On the Reservation description field, there is an indicator to show if the invite has been accepted or undecide by the person (Technician) or even that person has organised the session.

  • Any additional feasible requirement (such as changing subject descriptions or the logic for sending) needs to be discussed and would be implemented specifically for customer installation.
